Spam filters use a scoring system to determine deliverability. The higher the score, the less likely your email will make it to the inbox. And, while subject line content is a big factor, email body text is also scrutinized for html code and problematic terms. Normally innocuous lines like: “Sue, my total weight loss is up to 30 pounds.” may now be zapped as spam by some of the more aggressive filters. To share your desktop as a presenter:

1. Login to your presentation (same as when joining a Live Presentation).
2. Click on one of the presenter seats.
3. Click on Share Desktop next to the Video tab on the menu bar.
4. Run the file titled CoVideo.exe ( depending on the browser such as FireFox and Chrome you will first have to save the file then double click on it to run).
5. Once the download is complete, you will see a message “Sharing Started Successfully”.
6. Your desktop sharing is now in session.
7. To stop your desktop share, click on Stop Sharing.  To resume, click on Start Sharing.
8. To go back to the main presentation, close or minimize the desktop share window, then maximize the Live Presentation window in your browser.
9. To view comments from other guests anytime during the desktop share session, click on the Live Presentation window that is minimized at the bottom in your task bar.

To view the presenter’s desktop as a guest:

1. Login to the presentation (same as Live Presentation).
2. Once in the presentation, click on View Desktop in the top right corner.
3. Run the file called Viewer.exe ( depending on the browser such as FireFox and Chrome you will first have to save the file then double click on it to run).
4. Once this downloads, you will see a “Loading” message then you will see the presenter’s desktop.
5. To ask questions and send comments, just maximize the original Live Presentation page from your task bar and type your questions/comments in the chat box.

If you have multiple presenters in the Live Presentation, to view another person’s desktop, the person that wants to share their desktop would click on Share Desktop and run the program and then the person that is trying to view it would click on View Desktop and run the program.

To switch desktop sharing from one presenter to another, the presenter currently sharing would close the active session.  The next presenter wishing to share their desktop would click on Share Desktop and run the program. After the program is run and the message ’desktop sharing has started’ is displayed, the previous presenter needs to click on View Desktop and run the program again.

To create video emails, login to your account at www.covideo.com and click on Video Email.  If it is your first time using the product check your video/audio settings before recording.  To do this, click on Settings then Change Camera Settings.  Click on the camera icon to make sure the correct webcam is selected (on a Mac, it’s most likely USB Video).  To check your audio, click on the microphone icon and select the correct microphone.  To test your microphone while on that screen simply speak several lines.  The green input bar will go up and down as you talk, if it is a working microphone. Adjust your recording volume by moving the slider to a desired position.

To record your video, click on Start Recording and begin your message.  You can record up to 10 minutes per video.  When finished, click on Stop Recording.  You may now preview, save or email the video. If you choose the email option, click on Email Video and fill out the necessary information (make sure the pop-up blocker allows the Email Video page to display) and click on Send Email.  Once you have emailed the video, it will automatically be saved in your Video Library.

Be  sure to have the latest version of Adobe Flash installed on your Mac (CLICK HERE to install)

If you are having issues with the audio cutting in and out on your Mac while recording a video email or while in the Live Conference or Live Presentation, follow the steps below to solve the issue:

• Click on System Preferences
• Click on Sound
• Click on Input, choose a device for sound input, adjust the settings for the selected device all the way to the right and make sure that the box for “Use ambient noise reduction” is unchecked.
• Follow the instructions from above to adjust your camera/mic settings.

Setting up and/or changing your links is a quick and easy process.  Please keep in mind that if you change the default links it will affect all previously sent videos. For example, you sent a video to your recipient a week ago with default links set up but today you want to change those default links. If your recipient from a week ago views the same video again today, he/she would see the new default links that you have set.

To set up default links, login to your account at www.covideo.com. From the menu bar go to Templates/Icon and click on Default Links. For the link text, type in the title or text you would like displayed on the link.  For the link target, type in the actual URL to that link (or go directly to the webpage, copy the URL and paste it into the link target box).  You also have an option to open the link in a new window (or browser), this ensures your video email will remain open along with the link they clicked on.  Once you have entered all of the desired links, just link on Update.

To set up custom links for specific templates login to your CoVideo account, go to Templates/Icon on the menu bar and click on Custom Links.  On the next page, select the template you are adding custom links to, enter the link text and link target information (as described above) for each link.  When complete, click on Update.

To save your list as .csv file:

• In Excel, go to the Office Button and click on Save As
• Under the File Name, type in the name you would like to save it as
• Under Save As Type, select CSV (comma delimited)
• Click on Save
• Click on OK then click on YES when prompted

To import your contacts please follow the following steps:

• Login to your CoVideo account at www.covideo.com.
• Click on User Options followed by Import Contacts.
• Agree to our spam policy then click on Browse to select your Excel (.csv) file.
• If you would like to upload your list as a group, (allows you select that group and email the whole group at once when sending video emails or meeting invitations) type in your group name.
• Click on Send File.
• On the next page match up the fields such as First Name - First Name, Last Name - Last Name and Email Address - Email Address.
• Click on Submit.

• Login to your account at www.covideo.com
• Click on Live Presentation followed by Setup Present Now
• Enter the presentation title
• Assign the guest presenter code (if you would like to control who can grab one of the presenter screens)
• Select a slide presentation
• If desired, select a video
• Click on Record A Session Now to record your presentation or click on Send Invitations to send your invitations and record at a later date

To add/change layout

• Click on Layout followed by Add Seat
• Drag the seat anywhere on the screen. To add additional seats, just followed the previous steps.
• To re-size the seat, with your mouse, click the bottom right corner of the seat and hold the mouse while resizing
• To re-size the presentation screen, click the bottom right corner and hold the mouse to re-size
• To hide the presentation screen, click on Layout then Hide Presentation.
• To show the presentation screen again, click on Layout followed by Show Presentation.
• (Please note that these layout features can only be used before the presenters are seated and before the recording has begun.)

Preferences Options

• Change Slides - load another presentation (can only be used before the recording has begun)
• Change Video - load another video to play (can be used during the recording )
• Open/Close Chat - enable or disable the chat option for attendees/viewers
• Show/Hide Attendees - see the list of your current attendees in your Present Now
• Link - add/edit the link to the URL for attendees to click on
• Edit Stream - adjust the quality of the streaming videos (presenter screen(s); by default at 60%
• End Meeting - end your current session

To record a Present Now

• Double click on the desired seat
• Click on Record (green dot in the top right corner)
• The timer will start and word Recording will be flashing in red letters

To stop recording

• Click on the red dot (stop recording button)
• Once stopped, your presentation will be saved (the word Saved appears at the top of your screen) and ready to be emailed / viewed

To email your Present Now

• Click on Email on the menu bar
• Type your recipient’s email address then click on Add
• To add multiple email addresses, type the first email address then click Add, type the next email address and click on Add, repeat as needed.
• Once you have all of your recipients’ email addresses added click on Send
• To remove a recipient from the list, select the email address then click on Remove

Your list of previously created/recorded Present Now recordings can be accessed on the Live Presentation screen under Present Now Presentations (Beta).  From there, you can do the following:

• Edit - change the title of your Present Now
• View - if you have already recorded your presentation, you will have an option to preview it from here. If this option is blank, it just means that you have not already recorded this particular presentation.
• Join - enter your Present Now to record your presentation. If you have already recorded your presentation, you will see “Locked”. If you want to record over the previously recorded presentation, on the right side you can un-check the box for “Locked” which will allow you to join your particular presentation again.
• Registered - view the names and email addresses of  all of the people who have registered for your Present Now.
• Attendees - view the names and email addresses of the people who have attended or viewed your Present Now.
• Non-Attendees - view the names and email addresses of the people who have registered for your Present Now but have not attended it.
• Email/Invite - if your Present Now has not been recorded yet you will have an option to invite attendees by sending an invitation, or if your Present Now has been recorded you will see an option to email your recorded presentation.
• Locked - if your Present Now has already been recorded, the box under ‘Locked’ will be checked to prohibit accidental recording over the same presentation. If you un-check the box, you can join the same Present Now and record again.

To upload an image for the event

• Click on User Options
• Select Event Profiles
• Name your image and click on browse to select the image to load
• Click on Send Image

To edit an image:

• Click on the radio button next to the desired image to edit text, change or delete the image.

To add a live event:

• Click on User Options followed by Manage Events
• Click on Add New Events
• Under event type, select Live Event
• Type in your title and event description
• Select your date and time
• If desired, under Profile, select a profile image
• Provide your meeting ID or select your meeting from the drop down list
• For Showing, select how long before the start of your event, would you like to have the meeting ID displayed on your landing page
• If desired, select a video from the drop down list
• Click on Add Event

To add a recorded event:

  • Upload: 750 kbps minimum

  • Suggested: 200 kbps per feed (presenter) if more than 4 presenters

Once you are in the Live Presentation as one of the presenters, by clicking on the Preferences option on the menu bar, you will have the following options available to you:

• Presentation - select another presentation to display
• Video - select a video from the drop down list to play in your Live Presentation
• Seat Count - add/remove seats and toggle between Live Presentation and Live Conference
• Yes/No - ask questions to your attendees and they can answer Yes or No, answers will be shown on the Toggle Attendees List, click on Reset on the menu bar to reset the answers
• Toggle Chat - enable or disable the chat option for the attendees to use
• Toggle Attendees - see a list of the current attendees in your Live Presentation
• Select a Slide - select a slide to display
• Font Size - adjust the size of the font used in the chat option
• Login - if another presenter is a CoVideo account holder, he/she can login to show/play their slides and videos within the same Live Presentation
• BG Color - change the background color
• Enable Whiteboard - enable or disabled the whiteboard for all of the attendees to use
• Edit Stream - adjust the quality of the video stream
• Edit Link - add/edit a link for attendees to go to
• End Meeting - end your current session
